How do I book?

It depends on whether you are from:

How and when do I know if I’m on a flight?

  1. First Stage: Receiving your Proof of Booking with your Reference Number, either in person, or by e-mail.
  2. Second Stage: Flight Manifest is posted outside WFP Air Service Offices 24 hours before a flight

What is the PROOF OF BOOKING AND REFERENCE NUMBER?

If the request was made in person (walk-in booking) at a WFP Air Service office, you will receive the Passenger Request form duplicate with the Reference Number; this is your PROOF OF BOOKING. The request form will be signed as received and dated by the WFP Air Service booking clerk.

If the request is sent via email to liberia.airops@wfp.org, the booking clerk will send you an email back with your booking status. This is your PROOF OF BOOKING.

The proof of booking document should include the Reference Number (RN) i.e.
10AugMOFN15 C.

The RN reading is as follows:

  • 10 Aug is the date of the requested flight
  • MOFN is requested route. City codes from MO = Monrovia to FN = Freetown.
  • 15 is a sequence reference number for internal use only – not valid for seat allocation
  • C or W is Booking Status Confirmed or Waiting List

But I booked the flight and I’m not on it!

YOU NEED TO KEEP YOUR PROOF OF BOOKING WITH YOU TO BRING TO THE AIRPORT, IN ORDER TO ENSURE YOUR SEAT ON THE FLIGHT.

What happens when I turn up for the flight?

1. Turn up at the airport at the latest 1 hour before the designated flight time.
2. SHOW YOUR PROOF OF BOOKING WITH THE REFERENCE NUMBER to the WFP Air Service person there, at which time you will be issued with a ticket. Then follow any instructions given to you by the WFP Air Service representative.

Which airport should I be at?

• WFP Air Service flights operate out of the following airports:

  • Liberia: Spriggs Payne Airport
  • Sierra Leone: Lungi Airport
  • Ivory Coast: Abidjan International Airport, Military Section*

*Please remember that the Military Section of Abidjan International Airport is at a different location from the Commercial Section of the airport.

How much luggage can I take?

  1. The limit is 12 kg per person. Please ask when you book. If you turn up with more you will probably not be allowed to take it on the aircraft.

  2. If you need to take more cargo, then complete a light cargo movement request form and MAKE SURE IT IS SUBMITTED AT THE TIME YOUR BOOKING IS MADE.

But I have to make that flight tomorrow because of a really important ABCDXYZ!

Please contact your organisation’s Focal Point to have him/her assist in prioritising your organisation’s requests.

I am from a UN Agency or Implementing Partner

What to do to book?

  1. Make sure your booking request is in at least 1 week in advance. Note that you should probably book even earlier, as flights are often full and are filled on a first-booked first-served basis.
  2. Make sure it’s stamped (with an agency stamp) and signed by your relevant authorising officer.
  3. Send/deliver it to a WFP Air Service office via:
  • in person at a WFP Air Service office
  • scanned and sent by email or sent by email with accompanying authorisation from approving officer

I am from an NGO that is not an Implementing Partner of a UN Agency

How do I get on a WFP flight?

  1. To fly with WFP Air Service you’ll need to HAVE SPECIAL PERMISSION FROM THE HUMANITARIAN CO-ORDINATOR FOR LIBERIA. At the moment this is on a case-by-case, flight-by-flight basis. You will need to present this permission when you make your booking.
  2. If you have permission then follow the instructions listed for UN agencies and note that YOU WILL BE WAIT-LISTED and WILL NOT HAVE A CONFIRMED SEAT until 24 hours before the flight time. Just to repeat – all the procedures above will apply EXCEPT that you will not be confirmed until 24 hours before the flight.

But that’s not fair! How do I change this policy?

Feel free to lobby the HCL if you want this policy changed. WFP Air Service/UNJLC cannot change this policy directly.

I am from a different kind of organisation…

  1. Please ask WFP Air Service for details.
  2. In short, it depends…
  • Anyone can fly if the Humanitarian Co-ordinator for Liberia gives specific permission.
  • Donors, diplomats, and implementing partners of donors can usually fly. If you’re one of these then you may find that you’re wait-listed rather than having a confirmed seat. If so then you’ll be confirmed 24 hours before the flight.
  • Once you know you have permission to fly then follow the booking procedures outlined for UN agencies and implementing partners.
